10 Questions You Should Ask Your Wedding Photographer Before Booking

So it’s finally happening, you’re getting married. The plans are coming together, the excitement is building, and you’re starting to book the people who will help shape the day, including your photographer, which is one of those decisions that deserves a bit more thought than just “I like their photos.”

From the outside, finding a wedding photographer can seem simple enough. You find someone whose work you love, you book them, they show up, and you get beautiful photos. But what most couples don’t immediately see is how much the experience depends on everything that happens before the wedding day even begins.

So before you sign anything, here are the questions ask your wedding photographer:

1. What are your rates and what’s actually included?

Don’t just look at the number, look at what that number actually gets you. Wedding packages can look similar at first glance but include very different things once you break them down.

Make sure you clarify:

  • Hours of coverage
  • Number of edited photos
  • Whether a second shooter is included
  • Engagement session (if any)
  • Albums or printed products
  • Travel fees or overtime charges

This is usually where misunderstandings start, so getting it clear early saves you from awkward surprises later.

2. Can we see full wedding galleries?

Early in the planning process, couples usually lock in their photographer quickly, especially when they have a “dream” style in mind and want to secure their date before it gets taken.

At that stage, it’s easy to look at an Instagram feed and feel like it’s enough to make a decision. The images are usually the strongest moments from different weddings, carefully selected to represent the best of the work.

That’s why asking for a full wedding gallery is important. It shows how the photographer handles an entire day, not just the highlights, but also the in-between moments, changing light, and everything that happens in real time.

It gives you a clearer understanding of consistency in both shooting and editing, which is what really matters when you’re trusting someone to document your wedding day.

3. Will you be the one actually shooting our wedding?

This sounds like a simple question, but it’s one of the most important ones to ask, especially if you’re booking through a studio or a team.

Sometimes the person you see online or speak with during inquiry isn’t the one who will actually show up on your wedding day. That can mean a different shooting style, different approach, or even a different way of working on the day itself.

It’s important to be clear on who will be documenting your wedding so you know exactly who you’re trusting your day with. This is a once-in-a-lifetime moment, and you don’t want uncertainty simply because this question wasn’t asked early on.

4. What happens if you can’t make it to our wedding?

This isn’t the most exciting question to ask, but it’s one of the most important ones to get out of the way early.

No photographer plans to miss a wedding, but real life doesn’t always follow plans. Emergencies, illness, unexpected situations, they happen even to experienced professionals.

What matters is how prepared they are when it does. Do they have a trusted backup photographer? A network they can call on immediately? A clear system in place to make sure your coverage continues without disruption?

It’s really about knowing there’s a solid plan in place long before the wedding day arrives.

5. What is your cancellation or refund policy?

This is a must before signing any contract.

Every photographer has their own terms outlined in their agreement, and this is where everything becomes clear in writing. It’s important to actually read and understand it, not just scroll past it.

Make sure you know how it applies in situations like:

  • If the wedding is cancelled by the couple
  • If the wedding needs to be rescheduled or moved to a different date
  • If the photographer becomes unavailable due to emergency or unforeseen circumstances

This is all about clarity before you commit, so there are no gray areas later on.

6. What do you do to protect photos from being lost?

As a photographer myself, this is one thing I never want to ever risk happening, losing a couple’s wedding photos is honestly a worst-case scenario.

It’s not the most exciting thing to ask, and it’s one of those “hopefully never needed” situations, but if something goes wrong here, it can quickly turn into a nightmare.

That’s why it’s worth understanding how your photographer protects your images both during and after the wedding day, making sure everything is properly backed up and never sitting in just one place.

Don’t be shy to ask this, it’s a simple question, but a very important one for peace of mind.

7. Do you charge a travel fee?

This is already covered under packages and inclusions, but it still needs to be asked directly so everything is clear from the start.

Some photographers only finalize travel fees once they’ve checked the actual location, distance, or access on the day, which can lead to unexpected add-ons if it wasn’t discussed early.

Make sure to share your exact venue and confirm how it affects pricing so everything is settled ahead of time, you don’t want your wedding day distracted by last-minute cost discussions.

8. Do you work with a second photographer?

Worth asking this early on, especially if you want a more complete coverage of your wedding day.

Some photographers always bring the same second shooter, while others work with whoever is available on the date. Both setups are common, but it can influence how consistent the style and teamwork feel during the actual day.

It’s a simple detail, but it gives you a better idea of how your wedding will be covered from different angles at the same time.

9. Do you have liability insurance, and does it cover your team?

Couples, don’t skip this one. This is what protects you in case something unexpected happens during the wedding day, like accidental damage at the venue, equipment issues affecting the shoot, or safety concerns involving guests or staff.

Some venues require photographers to have liability insurance before they can work on-site because it provides coverage if something gets damaged or someone gets injured during the wedding. In other words, it’s part of making sure everything can proceed without avoidable interruptions.

It also shows how professionally the photographer operates and whether their coverage includes assistants or second shooters working with them on the day.

10. How do you handle client privacy and image usage?

Every photographer has a different approach when it comes to sharing wedding photos publicly.

With social media now playing a big role in how photographers showcase their work and attract bookings, most will include image usage in their process in one way or another. Some feature weddings across their portfolio and platforms, while others are more flexible depending on the couple’s preference.

It’s important to clarify this early so both sides are aligned before anything is booked. Things you may want to confirm include:

  • Whether your photos can be posted on social media
  • If your wedding can be used in their portfolio or website
  • Whether you can request privacy for certain images or the entire gallery
