If your looking for a structured, laid back, intentional wedding day, you’ve came to the right place for how to make a wedding day timeline as a wedding photographer. As a wedding photographer for over five years, I have been able to create a perfect timeline for each of my wedding couples to ensure they have a seamless, smooth day that also works with myself as the photographer

How to Structure a Wedding Day Timeline

First off, my number one rule would be to always always add buffer room in between the day events and in between moments. When you do this, you allow room for emotion to capture those candid and cinematic moments that are not scheduled or practiced. All of my couples have loved having this and having their day stress-free without feeling rushed or pressed for time.

As a professional wedding photographer creating a timeline for your clients, to create the best experience; sit down with them and really get to know what they want their day to feel like, look like, and any moments they truly want in their wedding day. This helps you as the photographer grasp how the day will flow from start to finish. Be sure to take notes, and actively listen.

After you’ve got an idea of what your couple wants, grab a pen and paper and start writing down bullet points in order of events of the wedding day. To help with a starting point, use their ceremony time (if they already have one), or use the evening golden hour as a starting point if they haven’t set their ceremony time yet. Start listing the events right from the morning of flat lays, all the way to reception and grand exit, even if it’s outside your coverage hours. This can be a great selling point in providing your couples a visual of the day and up selling your packages to additional coverage.

Common Events to Include in a Wedding Timeline

Some ideas of events that typically take place during a wedding day timeline are:

  • First Looks (Bridesmaids, Parents, or Wedding Couple) | 5-15 min each
  • Wedding Party Photos | 20-40 min
  • Wedding Couple Portraits | 10-20 min
  • Ceremony | 30 min or more
  • Cocktail Hour | 1-2 hours
  • Family Photos | 15-30 min
  • Reception Entrances | 15 min
  • Dinner | 45min-2 hours
  • Golden Hour Portraits | 15 min
  • Speeches | 5-10 min each
  • First Dances (Parents + Wedding Couple) | 5 min each
  • Cake Cutting | 5 min
  • Sparkler Exit | 5-15 min
  • Travel Time | Always add buffer room for parking/prepping

These all are the typical events and rough time block it would take, but these vary depending on each wedding and what the couple wants, number of guests and how large their wedding parties and families are.

Finalising the Wedding Timeline

Now that you have all the events in order, you can start adding in time stamps beside each event. Start with the ceremony time or golden hour time and work yourself forward and backwards from that time allowing for extra 5-15 minute buffer time between bigger events. This is an example of one of the first draft timelines for a couple on Saturday September 12th, 2026 in Ontario for a Barn Wedding Venue where they will be getting ready at a hotel 10 min away.

This timeline is created for a wedding photographer with 8 hours of coverage and 6 hours of second shooter coverage. This allows the couple to see how much time they may need for the morning to get ready and to communicate to their hair and makeup artists when they need to be done by so the artists know what time they need to start and also shows the family and wedding party where they need to be and when.

After the first draft is created, make sure you are keeping in contact with your wedding couple to add any changes or modifications to the timeline as needed.

Final Tips for a Smooth Wedding Timeline

Meet with your couple the week of or week before the wedding to do a final run through to make sure your both on the same page and everything runs smoothly. A few final tips from a wedding photographer:

  • Add BUFFER room
  • Don’t forget about travel time, allocate for traffic!
  • Connect and create with your couple for a better experience, trust me it works out in your favour too!
  • Allow 30 min before golden hour, in case you are in a shaded area, running behind schedule or it’s. a cloudy day
  • Family Photos directly after ceremony before people start separating and mingling. Grab everyone while their there and together
  • Create a family shot list prior to the day, names included so family photos are fast and fun
  • Always prepare for the day to go off track at some point and don’t stress it if it does. You added buffer room for this reason and enjoy the moments in front of you. Be the energy your couple needs right from the start!!
